Challenges

Idealia Digital Hub is a marketing agency that serves multiple clients in parallel — from advertising campaigns to comprehensive communication strategies. The fast pace of work, a large number of projects and a variety of customer needs made it increasingly difficult to maintain order in communication and control over the profitability of individual activities.

As the team grew, information chaos ensued — arrangements diverged between emails, meetings and instant messengers, which slowed down the execution of projects. There was also a lack of reliable data on how much time each task actually takes and how this translates into project profitability.

Purchase decision and objections

The Idealia board needed a solution that would allow better planning and measurement of the team's work, without burdening people with additional responsibilities. Concerns were mainly about whether the design system would not be too rigid and whether the creative team would embrace it enthusiastically.

During the presentation of IC Project, it was shown that the system can work exactly in the rhythm in which the agency operates — flexibly, dynamically and with simple time reporting. This is what convinced the team that IC Project can support them in their daily work without taking up space for creativity.

Deployment process

The implementation process began with an analysis of the current way of organizing projects and communication between the teams. Based on this, a project structure tailored to the agency's clients was prepared — divided into campaigns, stages and channels of activities.

The workshop training allowed each member of the team to understand how the IC Project will translate into their daily lives. The team quickly implemented the new work model because they saw real easements in it — fewer emails, more transparency of tasks and better control of time spent on clients. Within a few weeks, the system had become the natural center of project management in the agency.

Solutions

The IC Project has become a place where Idealia combines planning, communication and efficiency analysis. Thanks to the reporting of working time, the agency gained a complete picture of how the team's involvement in individual projects is distributed. This, in turn, enabled more informed decisions to be made about valuations and the burden on employees.

At the same time, the flow of information has been improved — each campaign and project today has its own spaces where files, comments and findings can be found. The team no longer has to use multiple tools to figure out what stage a project is at.

Thanks to IC Project, it was also possible to introduce real profitability reporting, which for Idealia was one of the key implementation goals. Data on working time and costs made it possible to more accurately assess the profitability of orders and plan subsequent campaigns based on facts, not intuition.

After the implementation of the IC Project, the work of the Idealia team has become more orderly and predictable. We managed to eliminate communication chaos, reduce reaction time to change and introduce a data-driven culture.
