Challenges

The dynamic development of the office and the growing number of projects and collaborators have introduced real operational challenges. The lack of a single system to manage multiple projects made it difficult to delegate and monitor tasks in a distributed team, control document flow, visibility of team progress and workload, and monitor the financial liquidity of projects. Communication was distributed and based on emails, instant messengers and files, and with a large number of people involved on the investor and subcontractor side, even minor communication errors caused chaos and made it difficult to return to arrangements.

Purchase decision and objections

The NOVI Architects team was looking for a tool that would allow to organize the growing number of projects and integrate the processes in a single system. The previously tested solutions turned out to be either too simple or too complicated and not adapted to the realities of the design office. IC Project was distinguished by the possibility of running multiple projects in parallel, combining tasks, communications, documents and finances in a single system, an intuitive interface, flexibility of configuration and quick response of the IC Project team to the suggestions and needs of users.

Deployment process

IC Project has been implemented as a central tool for managing all office work. The system covered project planning and execution, task delegation and control, team communication through global, project and task chats, document storage and exchange, and budgeting and financial control of projects. Initially, part of the team and subcontractors approached the shift with reserve, however, those who quickly began to work in the system noticed a clear improvement in the organization of daily duties.

Solutions

IC Project has combined all processes in a single work environment. The system allows planning and execution of projects, control of tasks and budget, transparent communication between team and subcontractors, and storage of all project documents in one place. The financial module allows you to monitor project costs in stages, which allows you to react in advance to changes in guidelines, investor decisions or regulations. Currently, approximately 90% of the team works remotely, and IC Project acts as the central management center for all project processes.

After the implementation of IC Project NOVI, Architects noted an acceleration of project execution by about 30-40%, a decrease in the number of project delays by about 40% and a recovery of 1 to 2 hours per day per person. Data centralization and process automation have significantly improved daily work, improved the quality of customer service and enabled better project planning and cooperation with subcontractors.
