AWF Wrocław — practical study of project management for students

Challenges
Project management classes required an environment where students could learn project management methodologies through hands-on practice rather than theory alone. Previously used tools failed to provide a unified view of team collaboration, making it difficult to track project progress over time or keep all discussions and documentation in one place.
The university wanted students to experience a real-world project workflow—from planning and scheduling to execution and retrospective.
Purchasing Decision & Concerns
The key priorities were ease of use for hundreds of students and a quick onboarding process within the constraints of an academic semester. There were initial concerns that a commercial project management platform might be too complex for educational purposes or unsuitable for short-term classroom projects.
IC Project was selected thanks to its intuitive interface, Polish-language support, and the ability to work with reusable project templates tailored to the university curriculum. Ultimately, the platform became a long-term part of the educational process, serving as the technological foundation for project management courses at one of Poland's largest universities.
Implementation Process
The implementation was divided into stages aligned with the academic calendar. First, project and task templates were prepared for lecturers. Next, students received brief onboarding sessions introducing the platform.
Students then created project teams, defined project stages and deadlines, while lecturers continuously monitored progress and the quality of work. Throughout the semester, regular "decoding sessions" were conducted—short consultation meetings focused on reviewing project schedules, identifying risks, and improving task coordination.
Solution
Using IC Project, students work within a real project management environment. They begin by defining the project scope, breaking it down into stages, and creating schedules using the Gantt Chart.
Every task has an assigned owner, deadline, and discussion thread, while files and documentation remain connected to specific project activities. Lecturers can monitor progress in real time, provide feedback directly within tasks, and help teams prioritize their work.
Project templates simplify onboarding for new student groups, and at the end of each course, teams can easily conduct retrospectives and summarize key lessons learned.
Results
As this is an educational partnership, the primary focus is on the scale, continuity, and practical value of the program rather than commercial KPIs.
Key outcomes:
- 500+ students have managed projects using IC Project.
- 4+ years of continuous use in university project management courses.
- 20+ project review ("decoding") sessions delivered for student groups.
Key conclusions
IC Project introduced a complete project management lifecycle into the university curriculum by bringing planning, coordination, and communication together in one platform.
Students learn how to take ownership of tasks, collaborate within deadlines, and report progress in the same way professional project teams operate in modern organizations. Meanwhile, lecturers gain complete visibility into project progress and can focus on providing valuable academic feedback instead of managing multiple disconnected tools.

I can honestly say that the tool greatly facilitates the project management process, both for me and for my students. With IC Project, I was able to focus on hands-on teaching how to create tourism and recreation projects, and the technical support I received from the IC Project team was extremely helpful. This was a great step for our innovative university.
